Committee Meeting Minutes: 26 January 2009
Present: Ana Duerr, Eirik Duerr, Peter Hogarth, Astrid Johannessen, Rosemary Lund, Paul Ofoche, Frances Valeur; Apologies: Iris Bjørnø
The meeting was held in Frances Valeur’s residence; Rev. Peter Hogarth presiding. An opening prayer was offered at 19:15.
1. The minutes of the 11 October 2008 Committee Meeting were distributed and reviewed. The minutes were approved.
Matters Arising
2. Peter thanked Rosemary and all who sang and helped with the Carol Service held at the Korskirke. The collection was taken up by Korskirke personnel for its outreach work. Peter will visit the By-misjon to hear how it went, how much was collected and if they would like to continue with another such service in 2009 (possibly 10 or 11 Dec?).
3. Peter reminded Eirik that it would be useful to have a cable from computer to our printer.
4. Harald Grønnevik will be contacted by Peter and Rosemary/Roger Martin regarding a joint Songs of Praise service on morning March 29th. Harald will preside over the service, to include: 1) confession, 2) statement of faith, 3) prayer, and 4) a reading (or singing of a psalm). The committee suggested that three hymns be sung in Norwegian, to be decided by the choir of the Klokkarvik church. The remaining songs will be requests made by the Bergen congregation. Peter will reserve the Arbeiderstue of Engensenter for a follow-up pot-luck.
5. Peter apologized for not being able to attend the Carol Service. Mechanical difficulties on the plane caused the pilot to return to Stavanger and hence it became to late for Peter to reach the service. Jacob Frode Knudsen led the service in his stead. Refund on the tickets will now be an issue.
6. It is still unclear if DELK has left the Engensenter Kapell. There are forms and such from that congregation still in the chapel. Eirik will contact Engensenter to determine if they have moved.
Treasurer’s Report
7. Paul was not able to get a written report out in time, but he read from his spreadsheet the important points of the financial status. He will forward the report via E-mail in the coming days. While we spent more than budgeted this past year, we made even more than budgeted, so overall, the year ended positively. The travel budget was exceeded due primarily to the Synod trips which the committee approved we would pay for in leu of the Synod, which was without funds. Peter thinks the travel budget for 2009 should reflect that spent this past year.
8. Jill (treasurer from Oslo) wants a budget for 2009, filled out according to her format. She will be forwarding that shortly. She requests monthly financial updates and receipts.
9. The Carol Service raffle resulted in 10,500 NOK income for charity.
Other Business
10. Rev. Duncan Mugume’s E-mail to Betty Short was read to the committee. He requests information regarding possible contributions to his church and school in Uganda this year. Astrid reminded the committee that we had pledged 5000 NOK/year in addition to whatever ‘Uganda’ donations that were collected during the year. The committee decided unanimously to take 5000 from the raffle money and add that to the approximately 1400 ‘Uganda’ dontations that were collected this past year. He provided a bank account number, but we will still need a SWIFT code for the Barclays Bank of Uganda. Betty is to be informed that approximately 6,400 NOK will be forthcoming within a month (pending SWIFT information).
11. Peter has not completed the calendar for 2009, but most has been worked out. So far:

23 Aug a.m.: Joint service with Klokkarvik congregation (Peter must confirm)
23 or 30 Aug p.m.: Evening Service- Sammy Masemola Mpole
11 Oct a.m.: Harvest Festival- Peter Hogarth (Grimseid cottage after service)
25 Oct p.m.: Evening Service- Janet Heil
8 Nov a.m.: Remembrance Sunday- Iris Bjørnø
29 Nov a.m.: Christingle Service- ?
13 Dec a.m.: 3rd S. in Advent- Peter Hogarth
20 Dec a.m.: Carol Service- Peter Hogarth
27 Dec p.m.: Christmas Communion- Janet Heil (provisional)
12. Our Deanery Representative must be approved by Oslo. Penny Mietly was our ‘observer’ last year; the committee recommends that she be approved as ‘Representative’ this year.
13. The Harvest Festival could be either the 13th of September or preferably the 11th of October. Eirik will contact BUL Ervingen regarding a reservation.
14. Next committee meeting will be held on the 9th of March, 7 p.m. at the Duerr’s.
